Basic Policy for the Safe Management of Personal Information

In light of the importance of protecting personal information, and in order to enhance society's trust in our insurance agency services, we comply with the Act on the Protection of Personal Information (Act on the Protection of Personal Information) and other related laws and regulations, handle personal information appropriately, and manage it safely. We will also take appropriate measures to ensure the safe management of personal information.
We will thoroughly educate and instruct our employees on the handling of personal information to ensure that such information is handled appropriately. In addition, we will promptly respond to complaints and consultations regarding the handling of personal information, and will review and improve our handling of personal information and appropriate measures for secure management as appropriate.
1.Acquisition of personal information
We will acquire personal information to the extent necessary for our business and by legal and fair means. Specifically, we obtain personal information by receiving oral or written submissions from clients when proposing various products or concluding insurance policies from insurance companies entrusted by us.
2.Purpose of use of personal information
We will utilize the personal information obtained solely for the following purposes and not for any other purposes:
(1)Personal information collected in connection with contracted services.
We will not utilize personal information for any purposes other than the below:
- 1.To present and arrange the insurance products provided by the insurance companies with which we have agency contracts, to maintain and manage policies, and to pay insurance claims and benefits.
- 2.To provide administrative assistance for the Corporate Defined Contribution Pension Plan entrusted to us by the client.
- 3.Provide information related to our business.
- 4.Other services related to or incidental to insurance agency business.
(2)Personal information collected directly from clients, and others.
- 1.Identification of the client in relation to requests for quotations or contracts.
- 2.Responding to requests for quotations and questions, as well as performing additional duties deemed necessary for a completion of the transaction.
- 3.To provide information about our services, seminars, and so on.
- 4.To keep a log of access to our Company’s facilities.
(3)Personal information related to recruitment activities.
- 1.To send materials related to recruitment.
- 2.Procedures for selecting candidates for employment and communicating the outcomes.
- 3.For pre-employment procedures.
(4)Personal information of employees.
- 1.To manage the labor, salary, and health of employees and administer the employee benefits programs.
- 2.Performance management.
- 3.For the communication with the clients.
- 4.To carry out several types of processes for terminated personnel.
2-1.Purpose of use of Specific Personal Information.
(1) Use of Employees' Specific Personal Information
- 1.For taxation (e. g., payroll withholding).
- 2.For social insurance (report of insured person for health insurance, welfare pension, and the like).
- 3.For retirement income application.
- 4.For communication-related administrative tasks in the case of a disaster.
(2) Purposes of use of dependency exemption.
- 1.To submit employee dependency exemption use.
- 2.To submit a category 3 insured person's application.
(3) Purpose of use by those who are in need of submitting payment records.
- 1.To prepare payment records.

3.Provision of Personal Information to Third Parties.
We will not provide personal information to third parties without the consent of the individual, except for the following cases:
- 1.when required by law;
- 2.cases in which there is a need to protect the life, wellbeing, or property of an individual, and it is difficult to obtain the consent of the identifiable person;
- 3.cases in which there is a special need to improve public wellbeing or promote healthy child development, and it is difficult to obtain the consent of the identifiable person;
- 4.cases in which there is a need to cooperate with a national government organ, local government, or person entrusted thereby with performing the functions prescribed by laws and regulations, and obtaining the consent of the identifiable person is likely to interfere with the performance of those functions.
4.Measures for Managing the Security of Personal Information.
We always take appropriate measures to ensure that your personal information is accurate and up-to-date. We also implement organizational, technical, personnel, and physical safety control measures required by law, and take all possible measures to prevent unauthorized access to, loss, destruction, falsification, or leakage of your personal information. We also require the companies that handle personal information on our behalf to take the same level of strict management of personal information. In the event of personal data breach or incident, we will respond promptly and appropriately.
